Insurance Supporting Documents

Please follow these steps to help ensure that your Insurance Supporting Documents is approved by our team.

Upload your documents

Step 1

Check to see if you need supporting documents

If your name or vehicle registration does not appear on your insurance certificate, we will need you to upload additional supporting documents to show that you are insured to drive the vehicle.

We will need you to submit one (or more) of the following:

  • A Hire Agreement (a vehicle rental contract from your hire company)
  • A Permission Letter (a letter from the vehicle owner or hire company permitting you to drive the vehicle)
  • Vehicle Schedule (a list of vehicles covered under an insurance policy)
  • Driver Schedule (a list of individuals covered under an insurance policy)

You will need to submit these documents at the same time as you submit your insurance certificate.

The supporting documents you upload should be submitted to the corresponding document slot starting with the words [IF REQUIRED].

Step Two

Ensure you have the correct supporting documents

You will need to upload a Vehicle Schedule if your policy states that the vehicle insured is “As specified in the attached Schedule”.

Information required on this document:

  • Insurance company logo
  • Vehicle registration, make and model (which must match with the V5C Logbook and vehicle profile) Confirmation that you are covered for Private Hire
  • Security code (which must match with the Insurance Certificate)
  • Example Vehicle Schedule

You will need to upload a Driver Schedule if your policy states that the person or classes of person entitled to drive is “Any person named on the policy schedule”. +

Information required on this document:

  • Insurance company logo
  • Your name and driving licence number (matching with your DVLA Plastic Driving Licence)
  • Security code (matching with your Insurance Certificate)
  • Example Driver Schedule

You will need to upload a Hire Agreement or Permission Letter if your policy states that you can drive:

  • “with the Policyholder’s permission” (or similar);
  • that “any driver” is entitled to drive, or that you can drive “any vehicle”;
  • “Any person named on the policy schedule or… is driving… with the Policyholder’s permission”.

Information required on your Hire Agreement or Permission Letter:

  • Rental company logo
  • Date of Issue
  • Your name (matching with DVLA Plastic Driving Licence)
  • Your address or driving licence number (matching with your DVLA Plastic Driving Licence)
  • Vehicle registration (matching with profile, V5C Logbook & Insurance Certificate (if present))
  • Start and end date of rental period. If the rental is indefinite, it must be stated that the driver is insured for the duration of the insurance policy.
  • Rental company signature
  • Driver’s signature (Hire Agreement only)
  • Explicit permission to drive the vehicle on the Uber app (Permission Letter only).
  • Example Hire Agreement
  • Example Permission Letter

You may also need to upload a Taxi Fleet Permission Letter if you are driving on a Taxi Fleet Insurance Policy (even if the policy only specifically asks for Vehicle and Driver Schedules).

  • Information required on a Taxi Fleet Permission Letter is the same as the Permission Letter Above.

Please note - Your documents must be from a company we have previously approved. If this is not the case, they will need to complete this form. We will then perform due diligence on the company, with a view to approving it.

Step 3

Take a good photo of your document

The supporting documents must be uploaded at the same time as the insurance document. Make sure that the whole document is visible in the photo. If we cannot see all edges of the licence, your document will be rejected.

The image must not be blurry.

The following must also be visible in the photo:

  • Any logos
  • Any signatures
  • All required information

Please remember that the number one reason that documents are rejected is because the image is not clear, or all four edges of the document are not visible. Please follow these instructions to make sure it doesn't happen to you!
