What are the minimum requirements to get started?
There are no minimum or maximum size requirements. Uber for Business is designed to work for any company, whether you're a solo operator or a global enterprise.
There are also no subscription fees or service charges. You only pay for what you use, whether rides, meals, or vouchers. Once you set up an account and your first program, you can start using the platform immediately.
How do admins give access to employees?
Adding employees to Uber for Business is flexible and easy. You can invite users individually by email or in bulk using tools like CSV upload, direct email invites, or Slack-based links. For larger organizations, you can integrate roster syncing through tools like Concur or SFTP to automatically manage access.
Employees receive a verification email inviting them to connect their business email address to their Uber account.
Once verified, they can seamlessly switch between business and personal profiles within the Uber app.

What are good strategies for encouraging employee adoption?
Start by highlighting what’s in it for them. Employees benefit from not having to pay out of pocket, reporting expenses headache-free, and getting access to premium ride and meal experiences.
Tactical tips include:
- Sharing invites by Slack or email, or posting QR codes around the office
- Sending text-based invites directly through the Uber for Business dashboard
- Piloting the program with a small team (frequent travelers or a single department) to gather feedback and build momentum
- Having a plan and internal FAQ ready to support users if questions arise

How many individuals can have administrative rights?
There’s no cap on the number of admins you can assign. Most organizations, however, limit full admin access to a few individuals for simplicity and control. Uber for Business offers 4 distinct roles to help you delegate responsibilities appropriately:
Admin: Has full access to the Uber for Business dashboard. Admins can manage billing and payments, invite employees, assign roles, create and edit programs (including rides, meals, and vouchers), and configure overall account settings. This role is ideal for travel managers, operations leads, and program owners who need end-to-end control.
Coordinator: Can request rides, send vouchers, and distribute gift cards on behalf of other employees or clients. This role is perfect for executive assistants, office managers, and team leads who handle day-to-day logistics but don’t need access to billing or global settings.
Reviewer: Receives automated weekly reports by email and is responsible for reviewing and approving assigned trips. Reviewers can also request additional information on flagged or high-cost trips, making this role particularly useful for finance and compliance teams.
Sustainability Manager: Has exclusive access to the Uber for Business sustainability dashboard. This role enables visibility into emissions data and impact metrics, allowing organizations to track progress against environmental goals or use insights to inform reporting.
These roles allow you to delegate responsibilities without giving every individual full access to sensitive settings.
