Event Production Specialist
About the Role
The Event Production Specialist is responsible for planning, coordinating, and executing high-quality live and hybrid events across our offices. This role is hands-on and operational, ensuring all event logistics, technical elements, and run-of-show components are delivered smoothly and professionally.
The Specialist supports executive meetings, internal productions, all-hands, offsites, and partner events, acting as the primary onsite operator. The ideal candidate brings strong experience in event production and live event operations, is comfortable working in fast-paced environments, and can execute events independently from setup through teardown.
What You'll Do
- Plan and execute live, hybrid, and virtual events from setup through teardown.
- Coordinate event logistics, including room readiness, content playback, timing, transitions, and backstage operations.
- Support run-of-show execution by managing cues, signals, timing, and presenter flow.
- Partner with AV Engineering, Workplace, Communications, and external vendors to ensure event readiness.
- Provide onsite support for executive meetings, all-hands, offsites, and partner events.
- Troubleshoot in-event issues and escalate when needed to ensure continuity.
- Manage event materials, checklists, scheduling, and pre-production workflows.
- Communicate event requirements and readiness updates to stakeholders.
- Contribute to the improvement of SOPs, operational standards, and scalable workflows.
Basic Qualifications
- 5+ years of experience in event production, live event operations, or corporate events
Preferred Qualifications
- Experience running in-person and hybrid events using platforms such as Zoom, Teams, or similar.
- Demonstrated ability to manage event logistics, backstage coordination, cueing, timing, and on-floor support.
- Strong hands-on operational skills: onsite setup, event prep, vendor coordination, scheduling, and run-of-show support.
- Proven ability to troubleshoot issues during live events and react calmly under pressure.
- Strong communication skills and comfort supporting stakeholders at all levels.
- Ability to manage multiple events simultaneously with attention to detail and timelines.
- Experience supporting executive-level events or high-visibility internal productions.
- Familiarity with hybrid event workflows (multi-camera setups, basic audio/video routing, content playback).
- Experience collaborating with AV teams, workplace teams, or external production vendors.
- Strong understanding of event process management, checklists, and operational standards.
- Experience contributing to event documentation, SOPs, and readiness workflows.
- Background with staging, lighting, or show-calling concepts (at a non-engineering level).
For San Francisco, CA-based roles: The base salary range for this role is USD$131,000 per year - USD$145,500 per year.
